Position Overview:
The Human Resources Intern will play a key role in ensuring smooth communication across the company, managing group meetings, and developing policies and instructions for other team members. This position is an excellent opportunity to gain hands-on experience in HR management, team leadership, and problem-solving.
Key Responsibilities:
Team Management & Meetings:
- Organize and manage group meetings, ensuring that all team members are aligned on tasks and goals.
- Create agendas and take meeting minutes to keep track of discussions and action items.
- Facilitate discussions and help address team concerns or obstacles during meetings.
Policy Development:
- Create clear and concise company instructions and policies for all team members to follow.
- Update and refine existing policies to ensure they align with company goals and team needs.
- Ensure that policies are communicated effectively across the organization.
Instructional Materials Creation:
- Develop step-by-step instruction videos to help onboard new hires and guide existing employees on key processes.
- Gather and organize existing instructional videos and resources for easy access by all team members.
- Ensure that all instructional materials are clear, easy to understand, and relevant to the team's needs.
Task Organization & Folder Management:
- Set up and manage organized folders on Google Workspace to help the team better manage tasks and resources.
- Ensure that all task-related documents, policies, and materials are easily accessible and properly categorized.
- Work with team leaders to create efficient workflows that maximize productivity and minimize confusion.
Task Management & Leadership:
- Assign and track tasks for each team member based on their role and responsibilities.
- Monitor task progress and provide leadership and mentorship to ensure deadlines are met.
- Collaborate with department heads to address any challenges or bottlenecks that arise during task execution.
Problem-Solving & Mentorship:
- Act as a mentor for team members, helping them navigate challenges and improve their productivity.
- Use problem-solving skills to address team issues, from workflow inefficiencies to interpersonal concerns.
- Promote a positive work environment by fostering teamwork and open communication.
Email & Inquiry Management:
- Manage HR-related emails and respond to team members' inquiries in a timely and professional manner.
- Answer questions and provide support via chat boxes or other internal communication tools to ensure smooth operations.
- Handle sensitive information with discretion and maintain confidentiality.
Requirements:
Technical Skills:
- Proficiency in Google Workspace (Google Drive, Docs, Sheets, etc.) for task organization and folder management.
- Experience creating instructional videos using tools like Loom, Canva, or similar video editing platforms.
- Basic knowledge of email management and chat box support for internal team communication.
Organizational Skills:
- Excellent organizational skills with the ability to create and maintain structured processes and workflows.
- Ability to manage multiple tasks, prioritize work, and stay on top of deadlines.
- Attention to detail when drafting policies and instructions to ensure accuracy and clarity.
Leadership & Problem-Solving:
- Strong leadership skills with the ability to mentor and support team members.
- Creative problem-solving abilities to address challenges and find solutions that benefit the entire team.
- Comfortable taking initiative to improve processes and make recommendations for enhancing team efficiency.
Communication & Interpersonal Skills:
- Strong written and verbal communication skills for creating clear instructions and policies.
- Ability to communicate effectively with team members at all levels, from interns to department heads.
- A positive attitude and a willingness to collaborate with others to achieve common goals.
Preferred Qualifications:
- Prior experience in human resources, team leadership, or task management is a plus.
- Familiarity with Slack or other internal communication tools is preferred.
- Experience in creating instructional videos or onboarding materials is a bonus.
